Frontline: Managing People, Groups, and Invites

This article applies to:
Manage Frontline users in a single, easy-to-use console that works for your entire team. Invite members, assign permissions, organize your team into groups (coming soon), and track invites sent—all from one intuitive interface. In this article, you'll get oriented to the team management page and then learn how to use it, step by step.

Access and Navigate the Team Page
Managing your team starts right in your web browser. Go to https://id.articulate.com/redirect/manage and sign in with your Articulate ID email address and password. Click Team on the left side of the screen.
At the top of the page, you'll see your team name and renewal date.
Below that, a list of all team members and their current permissions appears, organized alphabetically by first name. Permissions display as badges next to each member's name. Refer to the following table to understand permissions and tasks.

Members with account owner, primary admin, or admin permissions see three tabs—People, Groups, and Invites—above the list of team members. Non-admin Frontline users don't see these tabs, but they see the list of all team members.
Use Search and Filter Options
All team members can use the search tool above the list to find other members. Here's how:
Type a name or email address in the Search people field at the top. Results appear as you type. Delete your search term to return to the full list.
Filters let you reduce the list to view only members with Create or Manage permissions.
People: Manage Users and Permissions
Only members with primary admin or admin permissions can invite users to the team, manage permissions, and remove users (and manage their content).
Invite Users
Get started by inviting new users to the team and managing their permissions. You have three options:
- Enable an invite link for self-registration
- Send an invite from the People tab
- Send an email from the Groups tab
We’ll walk through each option below.
Enable an invite link for self-registration
The easiest way to add new users is to generate an invite link, share it with your colleagues, and allow them to self-register for your Frontline team, as described below. People who join your team via an invite link can create training content. If you also want them to manage other users and groups, you can edit their permissions after they join your team. Follow these steps:
- Go to the Groups tab, click the Invite drop-down list, and choose Enable invite link.
- Currently, the invite link lets people join the default Frontline group
- Coming soon, you’ll be able to create custom groups and generate a different invite link for each one.
- When the Manage invite link panel opens, click the Enable invite link toggle.
- Copy the generated invite link and share it with your team using your preferred communication tool—email, Slack, Microsoft Teams, etc.
- If you want to regenerate the link, click the Generate new link button (it has a refresh icon). The previous invite link will no longer work.
- If you want to turn off the invite link altogether, click the Enable invite link toggle again.
When someone clicks your invite link, they’ll be prompted to enter their email address to join your Frontline team. Then, they’ll receive an email prompting them to create an account or, if they already have one, to accept your invitation to join the team. The email will include the primary admin's email address in case the invitee has questions or needs help.
NOTE: New users receive an email invitation with instructions to create an Articulate ID. You’ll want to show them how to use Frontline and manage their profile. Here’s some helpful information you can share with them:

Invitations for users to join your team auto-expire after 14 days if they aren't accepted. Expired invitations are deleted from your account after 90 days to make team management easier.
Send an invite from the People tab
Go to the People tab, click the Invite people button, and follow the steps below:
- Enter the user’s email address in the Email field.
- If you want to add more users with the same permissions, click the plus (+) button below the field. Enter their email addresses, one user for each field.
- Click the corresponding Create and/or Manage toggles to grant the new users permissions. Refer to the descriptions below for each toggle.
- Create: Enable this toggle to grant users permission to generate and edit training kits and artifacts, translate kits for global teams, and share training content with audiences.
- Manage: Enable this toggle to allow admins to manage all team members and subscription settings across the account.
- Click Send invite to save the settings and send notifications to the invited members.
Send an email from the Groups tab
You can also send email invites from the Groups tab, and the process is almost identical to the steps above for the People tab.
- Go to the Groups tab, click the Invite drop-down list, and choose Send email.
- Enter the user’s email address in the Email field.
- If you want to add more users with the same permissions, click the plus (+) button below the field. Enter their email addresses, one user for each field.
- Click the corresponding Create and/or Manage toggles to grant the new users permissions. Refer to the descriptions below for each toggle.
- Create: Enable this toggle to grant users permission to generate and edit training kits and artifacts, translate kits for global teams, and share training content with audiences.
- Manage: Enable this toggle to allow admins to manage all team members and subscription settings across the account.
- Click Send invite to save the settings and send notifications to the invited members.
Manage Permissions
To modify a team member’s permission, follow these steps:
- Click their name from the list to open the Edit permissions sidebar.
- Members with primary admin or admin permissions can update multiple users at once by selecting the checkboxes beside their names.
- Enable or disable the available permissions as needed:
- Create: Enable this toggle to grant users permission to generate and edit training kits and artifacts, translate kits for global teams, and share training content with audiences
- Manage: Enable this toggle to allow admins to manage all team members and subscription settings across the account.
- Click Save at the bottom of the sidebar to complete the process.
Note: Disabling or removing Frontline creator permissions will prompt you to transfer that team member’s content to another team member. Click the Transfer to field to select a team member as the new owner of the removed user's shared content. You can type the first few letters of the recipient’s name to filter the list. Or, if you’d prefer not to transfer their content to anyone, select None - Do not transfer content to keep the content in an “unowned” state:
- If the person you want to transfer content to hasn’t joined the team yet, invite them to the team and assign Frontline user permissions first before removing the old user. You can transfer content to them when they accept your invitation to join the team.

Remove Members and Manage Their Content
To remove a member from the team, follow these steps:
- Click their name from the list to open the Edit permissions sidebar.
- Members with primary admin or admin permissions can remove multiple users at once by selecting the checkboxes beside their names. Note that content created by the selected users may only be transferred to a single member.
- Click the Remove from subscription link at the bottom of the sidebar.
- If the team member had creator permissions, click the Transfer to field to select a team member as the new owner of the removed user's shared content. You can type the first few letters of the recipient’s name to filter the list. Or, if you’d prefer not to transfer their content to anyone, select None - Do not transfer content to keep the content in an “unowned” state.
- If the person you want to transfer content to hasn’t joined the team yet, invite them to the team and assign Frontline user permissions first before removing the old user. You can transfer content to them when they accept your invitation to join the team.
- Learn more about managing content when users leave your team.
- Click Remove user to complete the process.
Groups: Manage Frontline Groups
All team members belong to the default Frontline group. Members with primary admin or admin permissions can enable an invite link, allowing anyone with the link to self-register and join the default group on your team.
To enable and manage the invite link:
- Go to the Groups tab, click the Invite drop-down list, and choose Enable invite link.
- Currently, the invite link lets people join the default Frontline group
- Coming soon, you’ll be able to create custom groups and generate a different invite link for each one.
- When the Manage invite link panel opens, click the Enable invite link toggle.
- Copy the generated invite link and share it with your team using your preferred communication tool—email, Slack, Microsoft Teams, etc.

Coming soon: Members with primary admin or admin permissions will be able to:
- Create custom groups to organize Frontline users by department, location, or any other classification.
- Assign group managers to oversee groups.
- Generate group-specific invite links.
- Set credit spend limits for groups.

Invites: Monitor and Manage Invites
Now that we’ve investigated the People and Groups tabs, let’s move on to the Invites tab.
Switch to the Invites tab to see the following:
- Email addresses of the users who haven’t accepted or declined the invite
- Permissions assigned to each invited user
- The member who invited them
- The date the invite was sent and when it will expire
Invited users receive an email notification when they’re first added to the team and when they’re assigned creator permissions. They must log in to https://id.articulate.com/redirect/account to accept the invitation and join the team, but they can also decline the invitation.
Team members with primary admin or admin permissions can manage all pending invites, as described below.
